Terms and Conditions

Welcome to Namib Safaris Company Limited, dedicated to providing exceptional safari experiences in Uganda, Kenya, Rwanda, Tanzania and Namibia. Please review these terms and conditions, which govern our services and your obligations. These terms may change, and the version in effect at the time of booking will apply.

Service delivery in Africa may differ from what you’re used to at home, particularly regarding infrastructure and safety. The laws of the host country apply during your visit. We encourage you to read and understand our terms. For any questions, please contact our team.

Jurisdiction

Namib Safaris is a fully licensed private tour company operating under Ugandan law. Our registration number is 80034097407315 and license number UTB/RTT/TO/2025/102139, and our postal address is P.O. Box 168131, Kampala.

Pricing

Prices are usually quoted in U.S. dollars and must be paid in the specified currency. We reserve the right to change prices before booking confirmation.

Booking and Payment

Upon booking, a deposit of 30% of the total cost is required, including gorilla permit fees. The remaining balance is due before the safari starts, with full payment requested 30 days prior.

Cancellation Policy

To cancel a booking, please notify us in writing. Cancellation fees apply based on when you cancel:

  • Cancel within 24 hours after deposit: 90% refund (10% fee).
  • Cancel 40-50 days after deposit: 30% fee.
  • Cancel 31-15 days after desposit: 50% fee.
  • Cancel 14-7 days after deposit: 75% fee.
  • Cancel 7-0 days after deposit: no refund.

No refunds for failing to join, joining late, or leaving early.

In the rare event we need to cancel a confirmed booking within 30 days before departure (aside from non-payment or force majeure), we’ll offer you an alternative holiday of similar standard, subject to availability. If the alternative is cheaper, we’ll refund the difference; if it’s more expensive, you’ll need to pay the additional cost. If you choose not to select an alternative, you’re entitled to a full refund of all payments made, except gorilla permits, which are refundable only if available.

Cancellations not covered by this clause will result in no further liability from us. We cannot cover any expenses incurred due to cancellations.

Itinerary Changes

Please note that itineraries may change due to logistics. We aim to include all activities or provide suitable substitutes as needed.

Certain activities such as canoeing, rafting, and gorilla tracking may involve risks. Participation is at your discretion, and personal safety cannot be guaranteed; we’re not liable for any accidents or injuries.

Gorilla permits are only secured upon payment, but local conditions may lead to cancellation of gorilla viewing. Refunds for canceled viewings are at the discretion of authorities.

Important Travel Information

We strive for accuracy in descriptions and information regarding parks, wildlife, and accommodations but cannot be held liable for any errors.

Travel Insurance

It is strongly advised to obtain comprehensive travel insurance covering medical emergencies, accidents, and losses. Our company has no responsibility if you fail to secure necessary insurance, particularly for riskier activities.

Complaints

Promptly report any complaints to our representative and suppliers. If unresolved, submit a written report to our office in Kampala within 14 days of your holiday’s conclusion.

Liability

We’re not responsible for issues caused by unforeseen events beyond our control, including wars, natural disasters, and other emergencies.

Responsibility

While we take care to protect your belongings during the safari, we cannot be held liable for theft, loss, or damage. Weather conditions may also affect the itinerary.

Transportation

We ensure our vehicles are roadworthy. Report any issues regarding guide conduct to our office.

Smoking Policy

Smoking is strictly prohibited on our vehicles and at designated hotels, lodges, resorts, and public areas during the safari. Compliance with local smoking laws is required. Smoking is only allowed in specified areas. We are committed to delivering your holiday as advertised and will provide compensation if standards are not met, provided the complaints procedure is followed.

Photography Usage

We may use photographic images of tour participants for promotional purposes. If you prefer not to have your image used, please inform your tour guide at the start of the tour or via email.

Accommodation

If no preferences are provided, we will suggest reasonably priced hotels and lodges with private baths and hot water. Pricing is based on double occupancy, and we may substitute accommodations of equal or superior quality. Solo travelers may request shared accommodations; otherwise, a single supplement applies. We reserve the right to cancel bookings if necessary due to unforeseen circumstances. We are not liable for losses caused by independent suppliers.

Behavior and Termination

We can terminate the holiday of any participant whose behavior poses a risk or causes distress. Such individuals must leave immediately, with no refunds or liability for incurred expenses.

Voluntary Acceptance

By submitting a deposit to Namib Safaris Company Ltd, you confirm understanding and acceptance of the Terms and Conditions, including cancellation and liability policies.
